How Ginny Circle works

The business system handles the transaction. Ginny handles the work around it.

An operational intelligence layer around your existing systems, installed in your own compatible AI account. No migration away from your business software.

  1. 01

    Choose your workflow.

Choose a complete Property Management or Service Provider operations system, a Community / HOA product, or the free Meeting Prep Assistant. HOA also offers individual trackers and Collections. Service Provider is one complete system with an optional Management Expansion, not individual trackers. Included capabilities arrive in the purchased product’s one install file.

  2. 02

Install it in your compatible AI account.

Create a new Project in your compatible AI tool (or open your existing Ginny Project for an expansion), start a setup chat inside it, paste your one installation file once, and Ginny installs everything your purchase includes — foundation, operating rules, included workflows, Companion Tools and reporting. A suggested Project/workspace name is “Ginny Circle — [Property / Portfolio / Company Name]”.

  3. 03

    Bring in your real work.

After installing Ginny, add the best current sources that show what you manage and the work already in motion. These Project Sources give Ginny a reliable operational baseline. Source setup is onboarding, not another installation; supported connected sources supplement it.

  4. 04

    Continue working naturally.

Create the Work Session chats Ginny recommends inside the same Project — nothing more to install or paste. Just ask.

Detail stays local. Intelligence rolls up.

  1. Community Manager

    Run the community.

Detailed operational work in the Community Command Center.

  2. Portfolio Manager Command Center

    See across communities.

Comparison, intervention and escalation — only when your organization uses Portfolio Managers.

  3. HOA Enterprise Command Center

    Lead across the organization.

Leadership intelligence, organizational risk, priorities and decisions.

No Portfolio Managers? Community reports directly to Enterprise. Portfolio is not a required purchase or installation.

Higher-level views surface material information, not copies of every local record. Shared intelligence requires authorized shared sources, supported shared workspaces or explicit handoffs; separate private AI chats do not automatically synchronize.

Community / HOA

How the pieces fit.

Trackers organize the work.

Command Centers bring the work together.

Companion tools help you do the work.

Community / HOA managers

Trackers organize the work. Command Centers bring it together.

Trackers hold durable operational records. Command Centers summarize, route and report; companions assist with the work. Use Portfolio Manager oversight only where that role exists.

Your existing systems hold the information. Ginny Circle helps organize the work around it.

A day with Ginny

Start with the dashboard. Then clear the inbox with Ginny.

  1. 1

    Arrive and open Ginny

Your dashboard shows what needs attention today — before you open email.

  2. 2

    Know what matters

Overdue work, waiting items, approvals, deadlines and risks, in priority order.

  3. 3

    Scan the connected inbox

Where supported, ask Ginny to find new operational email, replies, approvals and escalations tied to active work.

  4. 4

    Respond

Ginny drafts the replies that need attention. You review, and send with your approval where the connection supports sending.

  5. 5

    Move the work forward

Follow-ups, vendor coordination and commitments are carried back into the work you track.

  6. 6

    Prep and run meetings

Agendas, briefs and live notes where your work includes meetings.

  7. 7

    Capture decisions

Decisions and commitments become documented records — reviewed, not assumed.

  8. 8

    Leave knowing nothing got lost

Tomorrow starts from an up-to-date picture, not from memory.

What actually happens

Straight answers.

Is Ginny software, an AI workspace or just a prompt?
Ginny is an installed operational intelligence layer around your existing business systems, running inside your own compatible AI account. You install it once from one file; it organizes operational records, dashboards, workflows and Companion Tools around how you actually work. It is not a standalone AI model.
Does it replace my PMS, CRM, accounting or field-service software?
No. Ginny does not replace PMS, CRM, accounting, leasing, work-order, HR, legal or financial-reporting systems. Those stay authoritative for transactions, payments, ledgers and official data. Ginny handles the work around them: follow-up, readiness, approvals, deadlines and what needs attention.
What do I receive after buying?
One installation file per product, ready in My Ginny Circle right after purchase, plus a start-here guide. One purchase → one install file → one paste → Ginny is installed.
What are Project Sources?
The current rosters, exports, worklists, procedures and documents you add after installing. They give Ginny a reliable operational baseline. Adding them is onboarding, not another installation.
What do Manual and Connected mean?
Two operating modes of the same product at the same price. Manual works from Project Sources, uploads and copy/paste. Connected also uses supported, authorized sources available in your AI environment. No universal integrations.
Can Ginny read and send email?
With a supported, authorized connected inbox, Ginny can scan, search and summarize operational email, identify what needs a reply and draft responses. It sends only with your direction and approval, and only where the connection supports sending. Your email platform remains the official record.
Does Ginny continuously monitor my inbox?
No. Ginny reviews your connected inbox when you ask. It does not watch inboxes in the background or send on its own.
Does Ginny change statuses or records automatically?
No. An email or note saying something happened is evidence, not a status change. Requested never silently becomes Approved, and Scheduled never silently becomes Completed — you confirm.
What is stored where?
Your business systems keep their official data. Ginny’s working records live in your own AI workspace and Project Sources. Ginny Circle doesn’t store your company data or bypass permissions.

Why not just open an AI chat?

You're not starting from a blank conversation every morning.

ChatGPT, Claude and other compatible AI platforms are excellent. Ginny Circle works inside them and adds the structured operational system you'd otherwise have to rebuild yourself, every day.

  • ✓ Established operational workflows
  • ✓ Standardized record structures
  • ✓ Operational safeguards
  • ✓ Command Centers
  • ✓ Companion workflows
  • ✓ Reporting architecture
  • ✓ Backup and restoration
  • ✓ Manual and Connected options
  • ✓ Consistent operational views
  • ✓ Company reporting and leadership visibility

Manual Edition

You bring information in through messages, copy and paste, and supported file uploads.

Connected Edition

You use supported connections available in your AI environment, where supported and authorized.

What's possible depends on your AI platform, plan, permissions and available integrations. Ginny Circle never connects to or synchronizes your systems on its own, doesn't host your operational data, never bypasses source permissions, and proposed actions still need your verification.

Same intelligence. Manual and Connected are operating modes, not tiers. Project Sources establish your baseline; authorized connected sources supplement them.

Grow at your pace

Start with yourself. Grow without starting over.

  1. Community Manager
  2. Portfolio Manager Command Center (optional)
  3. Authorized reporting
  4. HOA Enterprise Command Center

Start with the Community manager workspace. Add Portfolio Manager oversight only when your organization uses that operating role; Community can report directly to Enterprise.

If your organization later adopts HOA Enterprise, Community workspaces can participate directly, or through Portfolio Managers where that layer exists. Use authorized shared sources and explicit handoffs; you don't need to rebuild your Ginny Circle system.
