HOA Enterprise

Leadership across communities and portfolios — escalations, board-level risk and unresolved commitments rolled up without making leadership read every manager’s detail.

The HOA management system handles the transaction. Ginny handles the work around it. Portfolio is optional — not a prerequisite for Enterprise.

The leadership view

Real answers about the state of the company.

Detail stays local. Intelligence rolls up.

  1. Community Manager

    Run the community.

Detailed operational work in the Community Command Center.

  2. Portfolio Manager Command Center

    See across communities.

Comparison, intervention and escalation — only when your organization uses Portfolio Managers.

  3. HOA Enterprise Command Center

    Lead across the organization.

Leadership intelligence, organizational risk, priorities and decisions.

No Portfolio Managers? Community reports directly to Enterprise. Portfolio is not a required purchase or installation.

Higher-level views surface material information, not copies of every local record. Shared intelligence requires authorized shared sources, supported shared workspaces or explicit handoffs; separate private AI chats do not automatically synchronize.

Included with HOA Enterprise

Extend Ginny to the teams supporting your managers.

Assistant / Administrative Support

Keep follow-up, scheduling, correspondence, records, and day-to-day coordination from slipping through the cracks.

Accounting / AR-AP

Turn operational context into cleaner accounting follow-up—invoice questions, approvals, missing information, owner balances, and items that need attention.

Customer Service

Give homeowner questions, callbacks, promises, research, and unresolved issues a clear path to resolution and escalation.

Included deployment capabilities, not separate products or installations. Enterprise can prepare role-specific rollout and handoff packages from your supplied standards, responsibilities, escalation paths, reporting expectations, authorized sources and organizational structure.

See the company picture

The real HOA Enterprise Command Center.

Leadership can surface priorities, risks, deadlines, manager activity and operational patterns without living inside every manager's day-to-day workspace.

  1. 1 →Managers do the work

Trackers hold the detail; companion tools help do it.

  2. 2 →Ginny organizes the operational picture

Authorized reporting carries material information through supported shared sources or explicit handoffs.

  3. 3Leadership sees what matters

Priorities, risks and deadlines — where to step in.

  • "How's Mindi's portfolio?"
  • "Which communities need attention?"
  • "Which projects are stalled?"
  • "Which budgets are unfinished?"
  • "What deadlines are coming up?"
  • "What is waiting on Boards or vendors?"
  • "Where does leadership need to intervene?"

"How's Mindi's portfolio?" means "What's the current operational state of Mindi's portfolio?" — never "Score Mindi." Ginny Circle doesn't create employee scores or rankings. Ginny reports from the information available in your authorized sources and does not alter or independently verify those sources.

Email & inbox operations

Managers keep the detail. Leadership gets the view.

See what needs attention before you open email. Then let Ginny find the messages that matter — new operational email, replies, approvals, escalations and commitments tied to active work. Read less. Miss less. Follow through.

  1. 1

    Review

    Review the dashboard.

  2. 2

    Scan

    Scan the connected inbox.

  3. 3

    Reply

Draft and send the replies that need attention.

  4. 4

    Follow through

Carry commitments and follow-up back into the work.

From inbox to next move — at every level.

Community Manager
Keep homeowner requests, board replies, vendor follow-ups and promises tied to the community work you already track.
Portfolio Manager (optional)
Dashboard first, inbox second. Separate routine traffic from issues needing intervention, surface escalations and commitments across communities, and draft responses in context.
HOA Enterprise
Surface patterns, escalations, unresolved commitments and cross-portfolio risks leadership actually needs to see.

Email help is part of every level. Higher levels add prioritization, intervention and roll-up — Enterprise does not copy every manager’s email upward.

Email shouldn’t be a second task system. Inbox scanning and sending work through a supported, authorized email connection, when you ask — Ginny does not continuously monitor inboxes or send on its own. Replies are sent from your work email with your direction and approval, where the connection supports sending. Your email platform remains the official record, and an email saying something happened is treated as context: it never silently changes a status such as Requested to Approved or Scheduled to Completed. Manual mode stays fully useful without a connection. How email works with Ginny

How it works with your company

Fits how your company already works.

Keep your management software.

Ginny Circle works alongside your existing HOA management platform. It isn't trying to replace accounting systems, homeowner portals, violation systems, work-order systems or HOA management platforms — no migrating your communities.

  • Vantaca
  • CINC
  • TOPS
  • AppFolio
  • Buildium

Ginny Circle is not affiliated with or endorsed by these providers and does not currently claim direct integrations with their platforms.

What leadership can — and can't — see.

  • Managers keep their detail. Working conversations stay in each manager's own workspace.
  • Only approved information. Appropriate operational information is made available for reporting — not everything.
  • No private conversations. Leadership doesn't automatically see managers' AI conversations.
  • Your permissions, your data. Ginny Circle doesn't store company data or bypass source permissions.

Two ways to set it up — one Company Reporting standard.

Path A · Shared Company Source

For teams where managers work in their own separate AI accounts.

Approved reporting information goes to an authorized shared company location that leadership's HOA Enterprise Command Center can use.

Microsoft-based companies may use SharePoint where supported and authorized. Email can add context but isn't the reporting source.

Path B · Company-Managed AI Environment

For companies that manage one compatible AI environment centrally.

Company Reporting is set up within the capabilities and permissions your company's AI environment provides.

This doesn't give leadership access to every manager conversation. A shared reporting source may still be the right fit.

What's included

One Enterprise license. The work stays connected.

👥 People Tracker — the operational people foundation

One trusted place for who works here, what they're responsible for, and who is covering whom. It is not an HRIS, payroll, benefits, a personnel file, a surveillance system, or a performance-scoring tool. Human leadership stays responsible for every employment and staffing decision.

Manual: keep it current in conversation — "Stacy will be out October 12–16. Andrea will cover." Connected: use supported sources you authorize in your own AI environment, where available. Ginny Circle doesn't host or sync your employee information.

  • · Who works here, and in what role?
  • · Who reports to whom, and who supports whom?
  • · Which portfolios, communities or clients belong to each person?
  • · Who is documented as out, and who is covering?
  • · Are there real, documented coverage gaps?
  • · Who is starting soon, and who has departed?
  • Team Directory — A clean operational team directory from current People Tracker information.
  • OOO / Coverage Brief — A factual, date-based view of documented absences, designated coverage and genuine gaps.
  • New Employee Operational Setup — An operational setup checklist for role, team, assignments and handoffs. Not payroll, benefits or legal HR onboarding.
  • Employee Departure / Operational Handoff — Organizes responsibilities and handoff items when someone leaves. It makes no employment decisions.
  • Portfolio Reassignment Planner — Helps leadership organize a proposed reassignment. It does not rank people or decide who should receive the work.

💰 Revenue & Billing — work performed should become revenue

Brings billable time and additional billing together so it can be reviewed. Potential billing is not automatically approved billing.

Enterprise work sessions and the work behind the view

The view is only half of it

Ginny helps your team work through the details behind the dashboard.

Leadership asks what deserves attention today — then opens the top risk and starts working it.

Screens show an anonymous demonstration company. Ginny works inside your own compatible AI environment with the information your company provides or authorizes; proposed actions still need your review.

Questions & company inquiry

Let's talk about your team.

Can company leadership see everything a manager does in their AI workspace?

No. Company Reporting is designed around approved operational information. Managers can keep detailed working information in their own workspace while appropriate company-reportable information is made available to leadership through the configured reporting workflow.

How does information get from a manager's Ginny Circle to the HOA Enterprise Command Center?

Ginny Circle uses a standardized Company Reporting Layer. Appropriate operational information can move through an authorized shared company source or supported company environment, depending on how the organization is configured.

Do we have to use SharePoint?

No. SharePoint can be a strong option for Microsoft-based organizations where it is supported and authorized, but Ginny Circle's Company Reporting architecture is not limited to SharePoint. The appropriate setup depends on the company's systems, AI environment, connections and permissions.

What if our managers use a company-managed AI account?

Ginny Circle can also be configured for organizations using a company-managed compatible AI environment. The setup still respects available permissions and does not assume leadership automatically has access to every manager conversation or workspace.

Does Company Reporting monitor or score employees?

No. Company Reporting is designed to provide operational visibility — such as projects, deadlines, budgets, waiting items and areas requiring attention. It is not an employee surveillance or ranking system.

Do managers need to rebuild their Ginny Circle setup when the company adopts the HOA Enterprise Command Center?

No. Portfolio Manager Command Centers already include the Company Reporting architecture, but Company Reporting is not configured by default. If an organization later adopts the HOA Enterprise Command Center, an existing Portfolio Manager Command Center can be configured to participate in the organization's approved reporting workflow without rebuilding the manager's Ginny Circle system. Available Connected capabilities still depend on the organization's compatible AI environment, supported integrations and authorized permissions.
