What a language model actually does
A language model generates a response from patterns learned during training and the information available in the current request. It can work with language remarkably well without understanding your workplace the way a colleague does. A confident tone is not evidence that an answer is true.
The term AI covers many different tools. Here we focus on conversational assistants such as ChatGPT and Claude. Depending on the account and enabled tools, they may also work with files, search the web or perform calculations. Do not assume a tool was used just because an answer sounds researched.
Choose a small, reversible first task
Start where you can compare the output to a source and easily undo a mistake. Reformatting fictional notes is a better first experiment than deciding how to handle a legal notice or an urgent safety issue.
- Draft a short message from facts you already verified.
- Turn non-sensitive meeting notes into a checklist.
- Compare two versions of a document and inspect the differences yourself.
- Ask for several possible headings or ways to organize a plan.
Practice example · fictional information only
Using these fictional notes, make a checklist. Keep only actions explicitly stated. Leave unstated owners and deadlines as ‘needs confirmation.’ Notes: Lobby sign needs a draft. Alex will review it on Friday. Lighting estimate is still pending.
Know when assistance is not enough
A model can invent citations, misread a document, miss an exception or repeat an outdated rule. It can also produce uneven results when a request is vague or a source is incomplete. Asking it to ‘be accurate’ does not eliminate those limitations.
Keep legal, financial, security, personnel and safety decisions with the appropriate human reviewer. Follow your organization's policies before putting work information into an AI account. AI output is a draft, not your system of record.
Try it thoughtfully
Try the checklist example. Compare every row to the notes. Did the model turn the pending estimate into a commitment? Correct that before using the output.
A simple first-session routine
Name one outcome, provide the smallest relevant source, state what must not be invented, and choose a format. Read the answer against your source before asking for a refinement. Save the approved result in the appropriate work system rather than relying on a chat as the only copy.
- Outcome: what you want to produce.
- Source: the information the assistant is allowed to use.
- Boundaries: privacy, missing facts and decisions reserved for people.
- Review: what you will verify before the result leaves your desk.
